Standards for Reimbursement
There are three conditions that need to be met in order to be reimbursed:
- 1 Necessary for and related to the student's Home Education Program Plan,
- 2 Paid for and supported by invoices or receipts,
- 3 Not usually paid for by parents of students in a brick-and-mortar school or not a form of remuneration to the parent. See comprehensive list of what can be counted towards reimbursement and what cannot.
Eligibility for Funding of Home Education
Parents/guardians in the blended homeschooling program can access Alberta Education funding in stages throughout the school year, as long as they remain enrolled with Al-Amal Online Academy.
November
The first half of the $901.00 Alberta Education funding is released in November, giving families access to funds for approved educational resources and learning activities early in the school year.
February
The second half of the funding is released in February, allowing parents to continue supporting their child’s learning needs for the remainder of the current school year.
By February
To receive the full amount of available funding, parents must utilize more than 75% of the allotted amount per child by February through eligible expenses submitted for reimbursement.
Guidelines for Reimbursements
What you must submit
- All reimbursable items must be accounted for on the Home Education Program Plan.
- Each funding claim must include a signed expense claim form and original, itemized receipts.
- Group or individual tutoring must include a statement confirming the tutor or instructor’s qualifications.
Dates and school year
- All receipts must align with the Home Education Program Plan and fall within the current school year.
- Please watch the last cut-off date for receipts in May; late May receipts may not be accepted.
- Receipts from the final weeks of June that cannot be reasonably justified as school-year expenses will not be reimbursed.
Please note processing timelines
Considerable processing is required for receipts, so they should be submitted at least one month before cheques are written. Plan ahead so funding is used gradually throughout the school year rather than at the very end.
Currency & payment details
- Receipts in USD must be supported by a credit or debit card statement that clearly shows the exchange rate used.
- If no rate is supplied, the office will apply the Bank of Canada conversion rate for the relevant time period.
- Unreadable receipts or receipts that do not clearly show the date, vendor, and items purchased will not be accepted.
- Parents who prefer reimbursement by Electronic Funds Transfer (EFT) must complete and return the Direct Deposit form by email.
Reimbursement Dates
There are four funding periods throughout the school year. All reimbursements are issued by Electronic Funds Transfer (EFT), which is the most efficient way to reimburse funds to families.
Period 1
November
First funding period for eligible claims submitted in the early part of the school year.
Period 2
February
Mid-year funding period where families can claim additional reimbursable expenses.
Period 3
April
Spring funding period to process remaining claims before year-end deadlines.
Period 4
June
Final opportunity in the school year for approved reimbursements to be issued.
If you claim up to 75% of your funding by February
When you have claimed up to 75% of your funding by the February period, the remaining amount available to you will be released without requiring additional receipts, as long as eligibility requirements are met.
If your child is not returning to Al-Amal Online Academy
Families who will not be returning to Al-Amal Online Academy for the next school year can complete the Parent Declaration Form so any unclaimed funding may be used by Al-Amal Online Academy or returned to the Alberta Government.
